A successful manufacturing company based in the Northern Suburbs is seeking to employ a Receptionist / Office Assistant to join their small team. We are looking for a highly organized, hands on person that is willing to learn in a fast-paced environment. Responsibilities:
Administration:
- Answering, screening, and forwarding telephone calls, making appointments
- Receiving customers and visitors at reception
- Updating Covid Database
- Maintain office security by following safety procedures and controlling access via reception desk
- Receiving and sorting daily mail and emails
- Filing
- Arranging courier services
- Arranging interviews and all other meetings
- Typing out documents / spreadsheets
- Keeping track of stationery and replenishing stock
- Archiving old documents and keeping Archive Store in order
- Scrutinising security logbook on weekly basis
- Ad hoc tasks
- Check for tenders daily in websites provided and local newspapers
- Filing of credit card receipts
- Sorting according to month-end statement
- Keeping the logbooks for the company vehicles up to date
- Safekeeping the keys of the company vehicles and booking vehicles out to authorised personnel
- Ensuring vehicle services are booked on time
Finance Assistance:
- Capturing of supplier invoices on SAP
- Filing of Supplier Invoices
- Requesting statements from Suppliers monthly
HR Assistance:
- Assisting HR Manager with Contracts (New contracts and renewals)
- Keeping track of workers sick notes
- Registering of RMA Claim – injury on duty plus all related admin
- Placing ads for vacancies
- HR Filing
- Typing of warnings and other relevant
- Travel Arrangements:
- Getting quotations for airline tickets and accommodation
- Booking airline tickets
- Booking accommodation
- Ensuring we receive the invoices for airline tickets and accommodation
- Travel Requests
Requirements:
- Matric
- SAP Experience
- Ms Office
- Willing to learn
- Excellent communication skills – Verbal and Written
