Cape Town: Receptionist

  • Job Spec: To welcome and make all internal and external customers feel at home in the tiling showrooms.

 Functions of a Receptionist

  • To be a role model to everyone in terms of high energy levels, confidence and courteousness
  • To ask the clients the correct questions in order to direct them to the correct sales office
  • Building good telephone relationships with our clients and factory personnel a. To meet and welcome all internal and external customers telephonically so that they feel appreciated b. To answer all calls with the correct attitude and tone of voice before the third ring c. To screen and transfer calls d. To relay messages to the employees, with the correct information, and follow up that they received them
  • To meet and welcome all internal and external customers face to face, by coming around the counter to greet them, with a smile, so that they feel appreciated
  • To be able to direct clients via the phone on how to get to any of our locations
  • To offer refreshments to clients and management
  • To ensure the front of house is inviting, friendly and tidy at all times
  • To be responsible for the music in the showroom
  • To take payments efficiently
  • To organize, check and receive orders from couriers and suppliers
  • To ensure that the boardroom is spotless at all times (Check at 09:00 & 15:00 daily)
  • To print in colour for the sales teams (on request)
  • To update and distribute the tiling team
  • To keep an updated record of the addresses of the various branches, as well as maps to the locations
  • Ordering and managing Stationary
  • Report telephone and computer problems directly to Helpdesk and update the Branch Administrator
  • To ensure that there is enough paper for the printer
  • To order consumables for the credit card machines
  • To ensure that there are hard copies printed of our various terms & conditions at reception for our sales team to easily access
  • To generate a daily report on clients who visited and phoned and send a weekly report to the Marketing team
  • To learn how to administrate so that they can fill in for a sick administrator 22.Making pricing labels for displays
  • Arranging monthly “treat/surprise” for all staff
  • Other general administration duties – Filing, faxing etc

Requirements of an Office Assistant

  • Pay attention to detail and 100% committed
  • Professional in appearance, performance and attitude
  • Have a dynamic personality with a spirit of initiative
  • Ensure a high degree of loyalty and confidentiality
  • Have excellent written and verbal communication skills a. With the ability to write in another person’s tone
  • Portray good time management, discipline and organizational skills
